Salary £25,000 per annum
Working pattern Due to regular industry events, the role requires working occasional evenings and weekends.

The role is weighted towards the awards season at the end of the year, with regular additional hours required from September – early December. The Awards team then works a reduced 4 day week from Jan – June.

The role is based in BIFA’s central London office, but some remote / flexible working is possible.

BIFA is recruiting a full-time member of staff to join its team. The Awards and Programmes Coordinator will oversee the BIFA voting and viewing processes, support the entry process for the Awards, and help to coordinate the delivery of BIFA’s year-round industry and audience-facing programmes. They will work closely alongside the Awards and Programming Manager, as well as supporting BIFA’s Directors in the day-to-day running of the company, including administrating Board and Committee meetings.

We’re looking for a confident communicator with strong administrative skills and a passion for independent film. The ideal candidate will be comfortable managing large Zoom meetings, and capable of working efficiently and accurately under pressure.

BIFA is at the heart of the UK independent film industry and this role will play in integral part in supporting the organisation’s activities, as it continues to champion the best independent filmmakers, both within and outside of the Awards.

Responsibilities:

  • Overseeing the running of BIFA’s voting, viewing and jury processes including (but not limited to):
    • Briefing voters and subgroup chairs on the practicalities of BIFA voting
    • Assembling voter subgroups
    • Facilitating subgroup meetings throughout voting rounds, supporting chairs where needed
    • Communicating with voters and answering voter queries
    • Preparing materials for and hosting voter meetings
    • Taking and distributing notes at voter meetings
    • Managing screening invites and processing screener requests
    • Coordinating sign-ups for voter Unconscious Bias Training
    • Helping to assemble BIFA’s juries for winners voting in selected categories
    • Managing jury meetings
  • Supporting the entry process including (but not limited to):
    • Processing short film and feature submissions
    • Collating additional materials for longlisted films
    • Maintaining up-to-date records for all entries
    • Drafting and issuing clip licence agreements
  • Administrating BIFA’s Nomination Committee, Advisory Committee and Board meetings, including preparing agendas, compiling minutes and logging action points
  • Managing BIFA’s U25 Advisors Group including (but not limited to):
    • Distributing screener links, screening invitations and feedback forms
    • Compiling feedback for distributors
  • Coordinating invitations, RSVPs and guests lists for all BIFA events throughout the year
  • Coordinating BIFA’s programme of E, D & I training sessions
  • Assisting the Talent Development & Training Manager with preparation of materials for BIFA Springboard sessions, transcribing sessions and assisting during the sessions themselves
  • Providing general administrative support to the BIFA team, including maintaining the BIFA websites, answering email and phone queries etc.

ESSENTIAL Key skills:

  • Communication: excellent verbal and written communication skills. Capable of summarising complicated material clearly and concisely. Confident hosting Zoom meetings with large groups of people.
  • Organisation, administration and attention to detail: the success of the awards depends on its processes being managed efficiently and accurately; we are looking for someone with a flair and affinity for coordinating intricate and complex projects.
  • Time management and multi-tasking: we are a small team, our awards timeline gets very tight especially in the Autumn and lots of things happen at once, so a calm head under pressure is also very important.
  • Proficiency in the following software suites and platforms: Microsoft Office, Google Workspace

DESIRABLE:

  • Experience and knowledge of the UK film industry
  • Awareness of important industry issues, including diversity and inclusion, accessibility and sustainability
  • Proficiency in Keynote, WordPress, Mailchimp, Eventbrite, Notion and Slack
